1. Setting up your email parser
The email parser is the foundation of your Kpler Chartering workspace. It reads the emails you already receive from different sources - position lists, cargo orders, fixture recaps - and structures them automatically into your live Kpler workspace. No re-keying or manual uploads.
You will receive a dedicated parser email address from your Kpler account manager. Once you have it, set up an auto-forwarding rule so that your broker emails are forwarded automatically. Your data will start appearing in your workspace within minutes.
Setting up auto-forwarding
Gmail: Settings → See all settings → Forwarding and POP/IMAP → Add a forwarding address → enter your parser address.
Outlook: Settings → Mail → Forwarding → Enable forwarding → enter your parser address.
1.1 Setting up your email parser with MT inbox
If you have a MT Inbox subscription, you do not need to do the above. Simply set up a folder with your own custom rules in your MT Inbox workspace, and Kpler CS will activate parsing for that folder.
Your data is private
Everything processed through your parser address is visible only to users in your organisation. Your fleet positions, cargo instructions, and TC terms are never shared with other companies, never aggregated into any market dataset, and never visible to your counterparties or brokers.
2. Your workspace & what you can access
Your Kpler Chartering workspace includes the following modules from day one:
Module | What you get |
Tonnage, Cargo & Fixtures list | Cargo List · Tonnage List · Fixtures List - all included. |
Voyage Calculator | Save & share up to 20 calcs. Port charges and live spot bunker prices included. |
Live Map | Side-panel vessel data. Full Flows data when Chartering + Flows enabled. |
Emissions | CII ratings and carbon intensity data embedded directly in the Tonnage list. |
Prices | Baltic Exchange freight prices - spot and futures - across tankers, dry bulk, and gas carriers. 285 contracts covering route-level assessments and indices, filterable by vessel type. |
Flows data | Not included in standalone. Full access when combined with a Flows package. |
Freight data | Not included in standalone. Full access when combined with a Flows package. |
3. Your workspace & what you can access
Once your parser is live and your workspace is active, we recommend working through the following steps to get the most out of the platform in your first week:
☐ | Confirm auto-forwarding is active and broker emails are arriving in your workspace. |
☐ | Open the Tonnage List and review vessels appearing from your received position lists. |
☐ | Open the Cargo List and check that cargo orders from your inbox are structured correctly. |
☐ | Run your first Voyage Calculator on a real cargo- route, cargo size, and bunker costs pre-filled. |
☐ | Review the Fixtures List for recent market comparables on your trading corridors. |
☐ | Attend your onboarding follow-up call with your Kpler account manager. |
Focus area | Key actions | End-of-day goal |
Setup & email parsing | Connect your email inbox via the MT Inbox settings. Configure vessel type and commodity preferences. Set default region filters for your market. | The Cargo list, Tonnage list & Fixtures list auto-populate from the first morning's emails. |
Tonnage list deep dive | Build your first filtered Tonnage list view. Sort by ETA to Load Port. Check AIS status for 5 vessels you know - compare the parsed open date against ETA’s derived from live AIS position & vessel state. | Understand how live AIS data differs from, and improves on, the circulated position. |
Cargo list workflow | Review auto-parsed cargo entries from the last 48 hours. Check the automatically generated Related Tonnage list against each cargo. Save your preferred vessels into the cargo's Vessel Shortlist. | Eliminate the chaos of inbox trawling and manual cross-referencing and save time where it matters. |
Fixtures list benchmarking
| Run a rate benchmark for a route you know well. Filter by vessel type, route, last 2–3 weeks. Compare results to what you would have quoted from memory or recent broker conversations. | Build confidence in the Fixtures list as a negotiation tool and validate the market data against your knowledge. |
End-to-end workflow | Take one live cargo enquiry through the full cycle:
Cargo list intake → Tonnage list shortlist (ETA-ranked, R&C checked) → Fixture list rate benchmark → update to On Subs.
| Complete an end-to-end run through the platform in real market conditions. |

5. Q&A
“Who can see my fleet positions and cargo data?”
Only users explicitly authorised by your organisation. Your fleet view, cargo instructions, and commercial data are never shared with other users, other companies, or aggregated into any Kpler market dataset.
“Does Kpler sell our data back to the market?”
No. Your commercial data is never redistributed or sold. Kpler’s market intelligence is sourced independently from public fixture recaps and AIS, not from client workspaces.
“What happens to our data if we cancel?”
You export your full dataset on cancellation: fixture history, voyage records, and saved lists are all portable. Kpler does not retain your commercial data after account closure.
